Terms & Conditions
This agreement is entered into between Squiggles Face & Body Art, Melbourne ("Artist") and the client ("Client") for the provision of face and body art services. By engaging the Artist's services, the Client agrees to the following terms and conditions:
1. Services
The Artist agrees to provide services to the Client, as mutually agreed upon. Minimum booking requirements are as follows and are used as a guide only. Each event will be quoted based on various factors including number of guests, travel time and type of event:
Birthday Parties and Small Private Events: The artist can paint approximately 8 faces per hour depending on the intricacy of the design chosen. Minimum booking: 2 hours or 1.5 hours for local bookings (within 20km of the artists residence in Ringwood).
Business/Corporate Events, Community Celebrations and Festivals: The artist can paint approximately 12 faces per hour with a set menu of simplified designs. Minimum booking: 2 hours.
One person costume Face Painting: Minimum booking 30 minutes.
Baby Bump and Body Painting: Time required will vary depending on the intricacy of the design chosen. Minimum booking: 2 hours.
2. Additional Time
If the artist is available, the client may request additional time to ensure all event guests have the opportunity to be painted. Additional time will be charged in 30-minute increments. The client must pay for the additional time upfront, prior to the commencement of the additional services. The artist cannot guarantee painting all guests before the end of the event, and it is the client's responsibility to manage the queue and ensure everyone who wants to be painted is ready.
3. Travel and other Fees
For event locations beyond 20KM from the artist’s residence in Ringwood, VIC, travel fees may apply.
For locations 100KM or more from Ringwood, VIC, an additional fee for hotel expenses will apply. Determined after the booking is confirmed.
The client is responsible for paying any parking fees incurred by the artist.
4. Payment
Payment in full is required prior to the commencement of services.
For private events with a duration of <3 hours: a minimum non-refundable booking fee of $100 is required to secure a date and time. Upon receipt of this booking fee, the date and time will be confirmed in writing. Full payment, by electronic bank transfer, must be settled no later than 5 business days before the scheduled event date. Please note that no cash payments will be accepted for such events.
For corporate/business/organisation bookings, and private events >3 hours, a non-refundable $200 booking fee is required to secure the event date. Full payment, by electronic bank transfer, must be settled no later than 5 business days before the scheduled event date. Please note that no cash payments will be accepted for such events.
Any events booked at short notice (less than 7 days prior to the event), are required to pay the full amount up front to secure the booking.
The remaining balance is due 5 working days before the event date.
An invoice will be emailed to the provided email address, and immediate payment is required to reserve the preferred date and time.
5. Liability Statement and Health and Safety
The artist has Public Liability Insurance. Proof of insurance is available upon request.
The artist uses non-toxic, cosmetic grade, dermatologically safe, high quality paints.
The artist is not liable for allergic reactions to paints. People with skin allergies or sensitive skin should either not participate or have the artist perform a patch test at the beginning of the event.
The artist strives to use only the safest materials. However, no product can guarantee it will not cause a reaction. It is the responsibility of the client, and the guardians of children being painted to be aware of ingredients they may be sensitive to, and review the Safety Data Sheet ingredient list if desired.
In case of an allergic reaction, the paint should be removed immediately using water and a soft cloth.
The artist will not be responsible for supervising children. It is the client's responsibility to provide adequate supervision at all times.
The artist is not responsible for any adverse effects that may impact the face painting once the child or client leaves the artist’s chair. These can include, but are not limited to sweat, water exposure, touching the face, drinking and eating, adding or removing clothing. Quotes do not include time required for touch-ups. Please plan accordingly.
While the artist will take precautions, the artist is not responsible for any damage caused by paint or glitter rubbing off onto clothes, furniture, or any other property.
The artist will not paint anyone who is, or appears to be sick, suffering from cold, flu or Covid symptoms, cold sores, conjunctivitis, ringworm, sunburn, eczema, any infectious or inflammatory skin conditions, open or broken skin including active acne. These determinations are at the discretion of the artist. If the client is aware beforehand, they must inform any guests who have any of the above concerns, that they will not be able to be painted.
The client understands that some paint colours contain pigments that may cause minor staining of the skin. Face paint manufacturers recommend removing paint within 12 hours using a gentle soap and water and a soft cloth. For stubborn stains, either a moisturiser, mineral oil, jojoba oil, almond oil, coconut oil (or similar) can be safely applied to the skin before gently removing with a cloth. Always patch test any product on the skin first.
For safety reasons, the artist WILL NOT paint any child under the age of 3 years, and will not paint anyone who is unwilling to be painted or crying. Read more
If the client is aware beforehand of any attendees who have had an infectious or contagious disease such as covid, chickenpox, conjunctivitis etc, the artist must be informed prior to the event and is subject to cancellation at the discretion of the artist. If the client fails to inform the artist of such, and the artist’s equipment is contaminated, the client will be invoiced for the appropriate decontamination or replacement of said equipment.
The artist reserves the right to stop painting and leave the event without refunding any monies if there are extreme adverse working conditions and the client fails to remedy the situation in a timely manner. Adverse conditions include, but are not limited to; destructive, violent or inappropriate behaviour of a child, pet or adult; illegal activities, or otherwise dangerous conditions.
6. Cancellations
If the client needs to cancel the event, a minimum of 24 hours notice is required. Failure to provide adequate notice will result in the client being liable for the total contracted amount specified on the invoice. Cancellations made 7 days or fewer, before the event date, will incur a 50% fee of the total contracted amount. Booking fees are non-refundable in the event of cancellations, but are transferable if needing to reschedule within a 12 month period.
The client may book one additional "back-up date" by paying an additional booking fee. If the "back-up date" is not required and the artist can book another event for that time and day, the second booking fee will be refunded. However, if the artist is unable to book another event at the "back-up date," the "back-up date" booking fee will be forfeited.
No refunds will be issued for outdoor events affected by inclement weather (including temperatures over 32 degrees). The client should arrange an alternative indoor location as a backup plan.
Should the artist fall ill prior to the event, resulting in the artist canceling, the booking fee and any payments made will be refunded. If the artist is to fall ill during the event, any time of 1 hour or more remaining for services paid, will be refunded to the client. The artist will make every effort to find a suitable replacement, however this is not always possible at short notice,
7. Rescheduling
We understand that unforeseen circumstances may arise, requiring you to reschedule your event. To ensure smooth rescheduling, we have implemented the following policy:
Clients must provide a minimum of 7 days' notice prior to the scheduled event date to request a rescheduling.
Any request for rescheduling must be accompanied by the full payment for the originally scheduled event. This payment will be held until the rescheduled event takes place.
If adequate notice (7 days) is not provided for rescheduling, the request will be treated as a cancellation (see above). In such cases, a new agreement will need to be entered into, including a new booking fee.
Rescheduling requests are subject to the availability of the artist for the new preferred time and date.
If the artist is available for the new preferred time and date, and adequate notice (minimum 7 days) has been given, all monies paid will be transferred to the rescheduled event booking.
To request a rescheduling, clients must contact Squiggles Face & Body Art directly via phone or email. We will work with you to find a suitable alternative date and time, based on the availability of our artists.
Once the rescheduling request has been approved and a new event time and date have been confirmed, clients will receive a confirmation email outlining the details of the rescheduled event.
Any cancellations made after a rescheduling request will not be liable for a refund of any monies paid.
In case of extenuating circumstances (such as emergencies or sudden illness), exceptions to this policy may be considered at the discretion of Squiggles Face & Body Art. Clients must provide adequate documentation to support their request for an exception.
8. Parking
It is the responsibility of the client to ensure a parking space is provided in front of the event premises either on the street, driveway or loading dock for the artist to unload equipment. The client will reimburse the artist for any parking fees. Please note; The client will not be reimbursed for time lost due to difficult parking situations delaying the start time of services.
9. Setup and Facilities
The client is responsible for providing bathroom facilities with running water and a minimum painting space of 2m x 2m.
The artist will arrive on time to set up, and the client should ensure adequate lighting and at least two chairs are available. If it is necessary for the artist to provide their own chairs, the client must provide at least 24 hours notice.
For outdoor events, the client must provide a covered area. In extreme weather conditions (wind, rain, cold or heat), the artist may need to cease services, and no refund will be issued. The client should arrange an alternative indoor location as a backup plan.
The artist requires approximately 15 minutes for setup before services begin and 15 minutes for packing up at the end of services.
Venue:
a) Private properties - It is the clients responsibility to provide a covered/shaded area outdoors or a space inside away from rugs/carpets. While the artist will take care and precautions, the artist is not responsible for any damage caused by paint or glitter falling to the floor.
b) Commercial venues - It is the clients responsibility to check if the venue is happy to have a Face/Body Artist on site. No refunds will be issued if the clients fails to inform the venue.
c) Public spaces (eg Parks and Playgrounds) - It is the clients responsibility to provide a covered/shaded area.
10. Breaks and the end of services
The artist is entitled to take bathroom breaks as and when required and a 30 minute meal break if working 5 or more hours.
The client is responsible for ensuring that no guests request painting after the booked time. Sufficient time should be booked to paint all guests.
11. Limitations on Artwork
The artist will not paint on any part of the body that is not legal to expose or any place they do not feel comfortable painting.
The artist will not paint any design or wording that is obscene, offensive, violent, or defies good taste.
The client understands that the artwork may be affected by factors beyond the artist's control, such as extreme weather conditions, children moving during painting, time constraints, or activities after the painting is finished.
12. Photography/Videography
The artist may wish to capture photographs or videos of the face painting designs created during the event for promotional purposes, including but not limited to display on the artist's website and social media platforms. However, the artist respects the privacy and comfort of all individuals, including children.
Consent: The artist will not take photographs or videos of any child without obtaining express permission from their adult caregiver. Additionally, the artist will ask for the child's permission before taking their photo to ensure they feel comfortable and respected throughout the process.
Guest Photography and Event Photographers: Guests attending the event are welcome to take photographs of their own child receiving face painting services. Similarly, photographers hired by the event organizers are permitted to take photographs of the artist at work. However, it is kindly requested that if these images are shared on social media or elsewhere, proper credit be given to Squiggles Face & Body Art.
Unaccompanied Children: For children's events where a child's adult caregiver is not present, it is the responsibility of the client to inform the children's' caregivers that photos may be taken by the artist during the event. Additionally, it is the responsibility of the client to inform the artist of any children who must not be photographed.
